Who we are

Smartible (ABN 31 642 337 373) is a registered business name, based in Brisbane, Queensland. In this policy, "Smartible", "we" and "us" mean the operator of Smartible, and, once engagements begin, the company that provides Smartible's services.

We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth). This policy explains what we collect through our website and our customer platform, why, who we share it with, and what you can do about it.

What we collect

Website contact form. Your name, your email address, your company name (optional), the type of enquiry you select, and the message you write. With your enquiry we also receive the page you sent it from, the first page you visited on our site, the website that referred you and any campaign tags in the link you followed, plus your IP address and browser type. We use these to understand how people find us and to spot spam. Your browser holds the first-visit details only for that tab, in session storage rather than a cookie, and they are sent to us only if you submit an enquiry.

Website server logs. The time of each request and the response status. Logs do not record the contents of your message or any details you enter in the form.

Customer platform. If you work with us, we collect your name, email address, organisation and role, and sign-in details including IP addresses. Sign-in is provided by Clerk.

Electronic signatures and approvals. When you sign or approve a document on the platform, we record your typed name, any signature you draw, your IP address, browser details and the time, together with a fingerprint of the exact document you signed.

Project work. Information you and your staff give us during an engagement, and personal information held in systems we build or host for you.

Billing. Contact details for invoices and payment records. We do not collect card details through the website.

Credit checks. Only in the limited cases described in our credit reporting policy, and only with the individual's own consent.

We do not use cookies for tracking, and we do not build profiles of visitors.

How we use it

We use personal information to respond to enquiries, to scope, deliver and support engagements, to keep a reliable record of approvals and signatures, to invoice and manage accounts, and to meet our legal obligations. We do not add you to a mailing list without asking, and we do not sell or rent your information to anyone.

We take reasonable steps, including contractual terms, to ensure overseas recipients handle personal information consistently with the Australian Privacy Principles. We also disclose information where the law requires us to, for example in response to a court order or a lawful request from a regulator.

Analytics

We use Umami, an open-source analytics tool that we host ourselves, to understand which pages are visited. Umami does not use cookies, does not identify individual visitors, and anonymises IP addresses before anything is recorded. We do not run advertising, remarketing, or cross-site tracking of any kind.

Security and data breaches

We protect personal information with access controls, encryption in transit and at rest, audit logs and regular security testing. If a data breach is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.

How long we keep it

Enquiries that do not lead to an engagement are deleted after 2 years. Signed agreements and signature records are kept for 7 years after the engagement ends. Files and records you share with us on our customer platform are exported on request and deleted within 60 days after the services end, and platform backups are rotated out within 12 months. Server logs are rotated and deleted on a routine schedule.

Access, correction and deletion

You can ask us at any time to tell you what personal information we hold about you, to correct it, or to delete it. Email hello@smartible.com.au and we will respond within 30 days, usually sooner. There is no charge for making a request.

Complaints

If you think we have mishandled your personal information, email hello@smartible.com.au with the details and we will look into it and reply in writing. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed. The current version is always the one published at smartible.com.au/privacy.
